Job Description
This position is responsible for administrating, managing, and maintaining the Integrated Management System (IMS) Library by ensuring that the latest documents are available with the relevant information and metadata required at all times.
- Responsible for administering the internal document control master registry.
- Assign document numbers, maintain revision history, and monitor document status reports for all global IMS documents Tier I through Tier III on a regular basis.
- Provides expertise in support of IMS initiatives to improve the security, functionality, and structure of the IMS platform.
- Implements records and information management best practices in support of the business functions and regional operations.
Additionally, this role is responsible for administering the department's budget.
Essential functions
- Ensures that the current version of global IMS Internal documents Tier I through Tier III is readily available, identifiable, and accessible to all personnel via the IMS SharePoint site.
- Processes approved management of change requests (MOCs) for the addition, revision, and deletion of global IMS documents.
- Maintain Master Document Registry (MDR) for all global IMS documents for information related to document number, revisions, and obsoleted documents, etc.
- Uses IMS Document Library such as IMS SharePoint to enter, revise, and remove obsolete documents from the IMS and maintain relevant documents.
- Assists personnel with IMS document searches and/or research
- Ensures that all global IMS documentation, and subsequent revisions, are reviewed and approved by authorized persons and actions are completed as per the MOCR for document changes.
- Maintains IMS documentation including all historic native files for Tier I through Tier III and records in a legible, dated, identifiable, and orderly fashion.
- Stores the documentation and records in a manner that prevents damage, loss, and deterioration.
- Maintains the templates for all IMS documents and assists with the development of new templates as required
- Scans business-related documents and commits them to SharePoint ensuring that the items are easily identified and searchable.
- Ensure that current editions of documentation are available where needed.
- Work closely with process owners, SMEs, or technical writers to make revisions and updates as necessary.
- Provides IMS training and awareness to IMS Administrators for assigned regions or locations.
- Retains documentation and records in accordance with the company’s Records Retention Schedule and facilitates analysis and determines the necessity for corrective actions.
- Prepares the quarterly IMS Updates Bulletin to communicate changes made to the IMS document library.
- Reviews the monthly Management and Trend Reports and makes adjustments as required for OIS function and supports annual budget planning for the department. Oversees the department budget data, schedules review meetings, and prepares variance data in support of key stakeholders.
- Participate in IMS Audits and IMS Assessments to ensure information, document, and records (IDR) is well understood and implemented across the Company.
- Support regional or location IDR to maintain Regional IMS Documents within the IMS system.
Adheres to all Company policies and procedures.

- A High School Diploma is required.
- Should have 3 – 5 years of work experience in a document control environment.
- Must be proficient in all MS Office products, specifically MS Excel.
- Must have working knowledge of enterprise content and records management technologies, principles, and leading practices
- Should be conversant with the issues raised by the management of Electronic Records.
- Must have experience administering department budgets, preparing invoices for payment, and working within enterprise resource planning software (preferably Oracle).
- Must have good written and verbal communication skills and able to effectively communicate in a professional manner with staff, management, customers and vendors.
- Must be able to handle multiple tasks simultaneously while managing time in a proficient and effective manner.
- Must be able to travel domestically and internationally.
Must have strong analytical skills and be able to make complex decisions while keeping the department’s and Company’s philosophies and goals in mind.
