Job Description

This position supervises and maintains the Information, Documents, and Records (IDR) program.  This will include but is not limited to, overseeing and managing the Parker Wellbore Internal and External Documents and Records to ensure the latest documents are maintained in the system and records are maintained as per the Records and Information Management System (RIMS) retention schedule.

ESSENTIAL FUNCTIONS:

  • Implements the Company’s IDR program and initiatives to ensure consistent delivery of services for the overall coordination of information, documents, and records from creation or receipt through processing, distribution, organization, storage and retrieval, and ultimate disposition. 
  • Ensure that the latest version of IMS documents are easily available, identifiable, and accessible to all personnel and provide updates to the changes quarterly.
  • Manage and oversee document changes to ensure changes are made are aligned as per the Company management system and required stakeholders have completed review and approval.
  • Manage IMS document revision history for all documents, and ensure the latest copies are available to the document owners as needed.
  • Oversee the list of records in the storage (short term/long term) and ensure records are properly stored, retrieved, and destroyed as per the record retention schedule.
  • Provide functional oversight and leadership to both domestic and international document controllers and records coordinators to ensure that processes are current and executed consistently. Provide support and guidance to the IMS administrators for Global Documents.
  • Supervises IDR management system and oversees and directs assigned tasks for document controllers.
  • Develop, revise, and administer the policy, standards, and procedures for managing Information, Documents, and Records. 
  • Review and recommend revisions to the Company’s policy, standards, or procedures related to IDR requirements.
  • Works with Information Technology (IT) to develop or enhance the information architecture to support the management of physical and electronic records and information across the Company.
  • Conducts IDR training for the organization on internal record management databases.
  • Provides direction and consultation to customers who hold records retention determination authority to support and enhance the integrity of the Company’s systems for managing enterprise information and records.
  • Adheres to all Company policies, standards, and procedures.
  • All other duties and special projects as assigned.

Qualifications

NECESSARY QUALIFICATIONS, SKILLS AND ABILITIES

  • Bachelor’s degree or relevant experience required.
  • Should have five plus years of related work experience (preferably in records management).
  • Should have at least two to three years of experience in supervising others.
  • Must have a working knowledge of enterprise content and records management technologies, principles, and leading practices.
  • Must have proficiency with Microsoft Office tools such as MS Excel, Word, PowerPoint and Outlook
  • Must be a detail-oriented, self-starter and able to work with little supervision while maintaining goals/tasks.
  • Ability to influence and drive results.
  • Strong understanding of regulatory, legal, and quality requirements related to document control.
  • Must have good written and verbal communication skills and be able to effectively communicate professionally with staff, management, customers, and vendors. 
  • Must be able to handle multiple tasks simultaneously while managing time proficiently and effectively.
  • Must exercise good judgment and lead by example.
  • Must have strong analytical skills, and an understanding of departments and the Company’s values, strategy, and objectives.
  • Must work under minimal supervision and make independent decisions as appropriate.
  • Must be able to interpret and apply written information (e.g., policies, procedures, rules, regulations, statutes, etc.).
  • Must be able to make oral presentations to small and large audiences.
  • Experience in Oil and Gas preferred.

PHYSICAL DEMANDS:

  • Position regularly requires sitting / standing while performing sedentary work.
  • Requires repetitive wrist, hand or finger movements at a computer.
  • Ability to carry up to 10 pounds and may require the ability to lift and/or move objects up to 25 pounds.
